To help us deliver our medical image analysis solutions to large clinical trials we are hiring an Operations Associate on a permanent full-time capacity.

Purpose of the Role:

The Operations Associate will work in Clinical Operations team and contribute to the successful delivery of site-facing, sponsor-facing and internal tasks for IXICO’s clinical trials. This position will undertake a variety of administration tasks under the direction of the VP Operations Services and with work guidance from Operations Team Leaders. The position will help coordinate and improve administrative activities to help ensure quality and timeliness of project and broader operational deliverables, related to site and sponsor user access management and user communications and support, reconciling and updating distribution lists, and regular reporting to project team members.

This is a new role for the organisation and requires an individual who has performed similar duties and responsibilities previously in other roles and is able to hit the ground running utilising their knowledge, positive ‘can-do’ attitude and experience to make the role successful.

Essential Duties & Responsibilities:

  • Assist Operational Team Leaders with administrative tasks to accomplish team deliverables.
  • Be responsible for daily, weekly, monthly and ad hoc administrative tasks related to project data sources and internal and external users.
  • Maintain user distribution lists and process access requests for IXICO’s data management platform.
  • Perform reconciliations between internal and external data records, raising action tickets for the team.
  • Monitor user support queries and ensure own and team members’ responses are timely.
  • Collate and maintain data for reporting and billing through copy/paste and transcription from other sources.
  • Produce and distribute regular status reports for projects and team activities.
  • Send training requests to external site users and review completed training records.
  • Assist with planning project specific tasks during start-up or in response to client requests
  • Support project managers in raising of purchase orders and receiving goods, monthly.
  • Work with Clinical Operations department leads to ensure timely delivery of information for reporting internally, and externally.
  • Be responsible for templates, incorporating agreed changes into the standard templates.
  • Identify, plan and execute process improvements to streamline or eliminate manual tasks in the role.

Qualifications and skills required for the role:

Essential

  • Multi-tasker who is organised and able to manage time efficiently.
  • Meticulous attention to detail, strong focus on quality and drive to identify process improvements.
  • Strong on email communication, using templates, organising into working folders, actioning based on priority and date received.
    • Demonstrable administration experience including:
    • Strong knowledge with Microsoft products (Word, Excel, PowerPoint, etc)
    • Skilled using Excel, including copy/paste data, basic formulas, importing and exporting between different applications
    • Working on large spreadsheets (large number of sheets, wide sheets, extensive use of filters and ability to apply pivot tables or similar)
    • Able to do large quantities of data entry
    • Ability to collate, classify and perform simple analysis on information
    • Touch typing
    • Good written and verbal communication skills
  • Critical thinker who gains satisfaction in the role by adding value to, and improving, the tasks they perform.

Desirable

  • Interest in clinical and/or clinical research domain and previous experience of working in an administrative role in a regulated environment governed by Standard Operating Procedures is desirable.
