As our great team continues to grow we are looking to hire a Head of Process and System Improvement in a full-time capacity.

Purpose of the Role:

The Head of Process and System Improvement is responsible for identifying, coordinating and implementing programmes to improve the efficiency and effectiveness across IXICO with the goal of achieving faster turnaround of services for the Company’s clients and sponsors, at lower cost and a higher level of quality.

The role is a senior position within the Company and will be part of the wider leadership team, reporting directly into the CFO and with regular interaction with the CEO and other members of the senior leadership team.

IXICO has grown rapidly over the last 4 years and, as a result, processes and systems developed when the Company had fewer clients, fewer transactions and fewer staff are now becoming stretched, and in some cases restricting further growth.  The Company requires an experienced and strong leader to coordinate the identification of key challenges to the efficiency and quality of output across the organisation.  To be able to articulate the opportunities of improvement identified in terms of cost (whether these be direct, indirect or opportunity costs), quality of output and in softer areas (such as team motivation) and, through implementation of established improvement processes such as Lean, six sigma and/or others, scope, analyse, plan and undertake programmes, be they system changes or other, to realise these opportunities via clearly defined implementation programmes.

The role will be central to creating a culture of process improvement.  Setting the structures by which this is achieved and devising and implementing a programme of training to embed process improvement approaches into the skill sets of individuals across the Company.

Responsibilities

  • Identify and implement improvements to systems and processes across the Company.
  • Set clear targets for improvement, based on well-defined scoped tasks, to deliver improvements within prescribed timelines.
  • Coordinate teams from across the Company as deemed required to deliver identified improvement programmes and manage the associated programmes from initiation to completion.
  • Hold responsibility for developing, and reporting against, the budgets for process improvement programmes, including the allocation of resources required, software licences and ongoing costs once the programme has been delivered.
  • Work closely with the Senior Leadership Team to make them aware of the resource requirements their teams will need to provide to support the process and/or system improvement programmes agreed as part of the annual budget and/or quarterly forecast reviews.
  • Provide monthly reports on project progress, highlighting challenges and obstacles and providing recommendations for additional actions as appropriate. These will include KPIs to allow the Senior Leadership Team and the Board to be able to monitor progress against target.
  • Lead the Company evaluation of its IT systems utilised for the purposes of transactional flows (for example across the bid to bill, the procure to pay and record to report cycles) and data flows (for example the collection of data from imaging sites and their flow through to the client data output report). This will include both specific systems unique to an area within the Company and the wider analysis of the need and appropriateness of the systems adopted by the Company as it grows.
  • Undertaking of specific analysis projects as required by the Senior Leadership Team (for example analysis of, and recommendations for, product pricing).
  • Lead all significant programmes of improvement and be accountable for their delivery to timelines and budget. In the first year this will include the project management of the Company’s upgrade of its Image capture and analysis platform, working closely with, and supporting, the SVP IT & Development with this critical project for the Company.
  • Ensure change management is appropriately incorporated in project plans so that the organisation is able to adopt new processes and systems following adequate training.
  • Ensure all changes in processes and systems are documented in accordance with the Company’s quality management system requirements.

Qualifications and skills:

Essential

  • Educated to at least degree level, and be able to show extensive experience in process and system improvement.
  • Experience of leading the implementation of IT systems including change management and training programmes.
  • An excellent communicator, who enjoys working with different individuals across multiple teams in order to achieve coordinated programmes with well understood goals and alignment to these goals.
  • Strong analytical skills, including the ability to understand and rationalise complex information, and being able to consider, challenge and conclude on the appropriate balance of complexity -vs- simplicity.
  • Ability to undertake route cause analysis of data collected, understanding why processes are suboptimal, and be able to identify and implement sustainable improvements to these processes.
  • Strong experience in change management, including the successful implementation of new systems across diverse groups of individuals ensuring training plans are well structured and rolled out against clear timelines.
  • Excellent written and verbal communication skills
  • Multi-tasker, organised and able to manage time efficiently
  • Detail and task oriented, with a strong focus on quality
  • Be able to work independently and as part of a team and be comfortable with the autonomy and accountability that comes with the role
  • Strong financial understanding, including the ability to accurately develop programme budgets and forecasts.
  • Show a keen interest in the neurological imaging services that the Company provides to its clients and understanding how these clients view these services.

Desirable

  • Lean/six sigma black belt qualified
  • IT experience.
  • Financial qualification
  • Knowledge of GCP, ISO13485, ISO27001 and/or other similar quality systems.
